This site collects the name, email address, house number, street, and drawn signature of an owner or designated voting member in order to complete the official limited proxy for the October 6, 2026 membership meeting. When the home is titled in an LLC, corporation, or trust, the entity name on file and the signer's title are included as well.
Your email is used only to verify that you signed the proxy and to email you the finalized signed proxy. We send one confirmation message to that address with a 4-digit code and a link. Once verified by you, your email is used to send you the finalized PDF document. No other emails are sent to you.
The Association must confirm that the person who signed is the actual homeowner or designated voting member. It may check the submitted name, address, and email against its existing records.
After you confirm the email, the signed PDF is stored on a private server and emailed to you and to the Association. That email includes the signer IP address and an approximate location derived only from that IP. The stored copy and the Association's attachment also include an Envelope, which lists the lot, signer name, email, IP address, approximate location, signing date and time, and the browser user agent, languages, platform, and time zone from the signing request. Storage is not published as part of the public website, and signed proxies are not listed for download by other visitors.
After you submit, you may download a copy of your own signed proxy during the same browser session. That download is the signed proxy only and does not include the Envelope page.
